For administrators

How do we keep track of who lives in which apartment?

Go to Members and tap Residents register — on a phone it is under the plus button. There you add the association’s apartments — or properties, houses or plots — and link each member to the one they live in. An apartment can have several residents, or none yet.

The residents register is there for associations whose focus is Housing and property, such as a housing co-operative or a joint property association. It is switched on from the start when the association is created with that focus. If it has been switched off, an admin switches it on under Settings → Views and navigation.

Adding the apartments

  1. Go to Members and tap Residents register.

On a phone, tap the plus button and choose Residents register.

  2. The first time: pick what you call them.

    Apartments, Properties, Houses or Plots.

  3. Type or paste the numbers, separated by commas or new lines – or choose a file.

For example "1001, 1002, 1101". A space does not split, so "Apt 3B" is one apartment. Duplicates are skipped, and you see how many will be added before you save.

  4. If you have the apartment numbers in a file: tap "Choose a file (Excel or CSV)" and pick the column with them.

The file needs one column with the apartment numbers (in a property owners' association the property designations, such as "Kartan 23"), one per row; a header on the first row is fine, and there is a template to download under the button. Membly suggests the column and whether the first row is a header, and shows the first values in the column so you can see it got it right. One cell is one apartment, even if it contains a comma. A workbook with several sheets lets you pick the sheet too. At most 2,000 at a time.

  5. Add more later with the plus button, or "Add apartments" on a computer.

  6. The register shows a hundred apartments at a time – tap "Show 100 more", or search.

Linking residents to an apartment

Tap an apartment in the list. Under "Who lives in …?", tick the members who live there and tap Save. One member can live in several apartments.

You can also link from the member’s own page: open the member and tap Change next to the apartments.

If you import a member list with a column of apartment numbers, you can map it to the residents register. Missing apartments are added, and members who already exist are linked too — so you can run the same file again once the register is on.

Inviting the ones who are missing

The rows reading "No resident · Invite" have nobody in Membly yet. The Without residents filter shows only those, which turns the list into the list of who is left to invite.

Tap the apartment and choose "Invite a new resident to …" at the bottom of the sheet that opens. You land on the email invitation, and whoever accepts goes straight into the right apartment.

Changing the name

At the bottom of the page it says Name: Apartments. Tap Change to pick Properties, Houses or Plots instead. The word changes everywhere in the app — in the list, on the member’s page and in the import.

Renaming or removing an apartment

Tap the apartment and choose Rename or Remove at the bottom of the sheet that opens. On a phone you can also swipe the row to the left, and on a computer they are in the row’s menu (⋮).

Removing an apartment takes it and its links out of the register — the members stay in the association.

Who sees what

Admins see the whole register. A member sees only their own apartments, on their own page.

The residents register and fault reports

If the association has fault reports switched on, the apartment is filled in for whoever reports a fault. A member who lives in several picks among them. The field can always be changed, because the fault may be in the laundry room or the stairwell.

Switching the residents register off

Go to Settings → Views and navigation and switch off Residents register. The register is hidden, but nothing you added is removed.
