Collect the membership fee without chasing anyone

You set the fee, Membly sends it to the members and reminds the ones who forget. The member pays by card or Klarna from a link in the email — without logging in — and you see who has paid in real time.

No card required. The payment feature is optional.

The problem is rarely the money. It is the reminders.

Most treasurers do not have a payment problem, they have a reconciliation problem. The fee can arrive ten different ways — but knowing who has paid, who has not, and who has already had two reminders means sitting with the bank statement and the member list side by side.

That reconciliation is what takes the time, and it is why the reminders never get sent. Associations do not lose income because members refuse to pay; they lose it because nobody has the energy to ask a third time.

In Membly the payment belongs to the member from the start. You send the fee to the register, not to a list of email addresses, and the status keeps itself up to date.

What it costs — and who pays what

The association always receives the full amount you asked for. The SEK 25 service fee, VAT included, is added to the member’s payment, covers all payment handling whatever method they use, and Membly takes no percentage on top of it.

There is no standing charge for having the feature switched on and no cost if you do not use it. Simply keeping track of shared expenses — who paid for what — is always free, because those never go through a payment in the app.

Payouts go to the association’s own bank account, from the association’s own Stripe account. Membly never holds your money.

What Membly does not do

Membly is not an invoicing system. There is no OCR reconciliation against bankgiro, no direct-debit mandates, no e-invoicing and no direct integration with Fortnox or Visma. If you need that, choose a system built for invoicing — we would rather say so here than afterwards.

For the bookkeeping you export an SIE file of the membership fees received, per calendar year. Both Fortnox and Visma import SIE, and your accountant will recognise the format.

Payment methods are set by Membly and are the same for every association — card and Klarna. They cannot be changed per association, and Swish cannot currently be used to pay inside the app.

What you get

Included in the subscription. Nothing to add on.

  • Send the fee in one go

To everyone, to a membership type, or to members you pick yourself. The amount comes from the membership type, so youth and supporting members are charged the right sum automatically.

  • See who has paid

Payment status per member, right in the member list. Filter down to the unpaid ones when it is time to ask again.

  • Reminders that send themselves

Turn on automatic reminders and Membly follows up with whoever has not paid after the due date — at most once a week, until they do.

  • The member does not have to log in

The payment link is in the email and works straight away. No app to install, no password to remember — which is the difference between getting paid and not.

  • Figures for the bookkeeping

An SIE file per calendar year for the accounts, and a CSV of the payments when the auditor wants the detail.

  • The money is the association’s

Payouts to the association’s own bank account via its own Stripe account. Membly never holds them.

How it works

Connect once, then it is the same four clicks every year.

  1. Connect the association to Stripe

A form about the association and the bank account, about five minutes. Stripe then runs its checks, which usually takes a day or so before payouts are live.

  2. Put the fee on the membership type

Standard, Youth, Supporting — each type gets its amount. If someone should not pay at all, put them on a fee-free type.

  3. Send the payment request

Choose everyone, a membership type, or individual members. Set a due date and turn on automatic reminders. The minimum for an in-app payment is SEK 100.

  4. Follow up

Payments register themselves. Anyone who pays another way you mark as paid, with a note on how. Then you export the SIE file for the accounts.

Who it is for

Above all, whoever is treasurer alongside a day job.

  • Associations with an annual membership fee to collect
  • Different fees for different membership types — youth, supporting, family
  • Treasurers who currently match bank statements against a member list by hand
  • Boards where the treasurer role changes hands regularly
  • Associations that also charge for one-off activities, camps or trips

Compared with how it is done today

The three most common ways a smaller association collects the membership fee.

Swish to the treasurer

Where it breaks

Quick for the member, but reconciliation becomes the treasurer’s private project: transfers with no name on them, payments from a parent’s number, and a list that exists only in one phone.

In Membly

The payment belongs to the member from the start. If someone Swishes the treasurer anyway, you mark it as paid with a note.

Bank transfer and your own invoicing

Where it breaks

It works, but somebody has to create the paperwork, keep track of reference numbers and reconcile against the bank statement every month.

In Membly

No invoicing and no OCR — one payment request to the register, and a status that keeps itself current.

A spreadsheet with a paid column

Where it breaks

The truth lives in a file belonging to one person. Reminders go out manually, if at all, and when the treasurer changes the history rarely follows.

In Membly

The payment history belongs to the association, not the treasurer, and the reminders send themselves.

What it costs

The payment feature is included in the SEK 299 per month subscription — no add-on, no setup fee. The association receives the full amount it asked for; the SEK 25 service fee, VAT included, is added to the member’s payment and covers all payment handling. If you do not use the feature it costs nothing.

Frequently asked questions

Who pays the SEK 25 service fee?

The member. It is added to the amount in the payment, and the association always receives the full sum it asked for. It is fixed, VAT included, and covers all payment handling — Membly takes no percentage on top of it.

Can members pay with Swish?

Not inside the app. Payment methods are set by Membly and are the same for every association — card and Klarna. It works perfectly well for a member to Swish the treasurer directly and for you to mark the payment as paid in Membly, so the member list still adds up.

Does the member have to log in to pay?

No. The payment link is in the email and goes straight to the payment — no login, no app. The link is valid for 30 days, and a new one is sent with every reminder.

Does the money go through Membly?

Payouts go to the association’s own bank account via its own Stripe account, and Membly never holds your money. Technically the payment does pass through Membly as the payment platform, which is what allows the service fee to be a flat amount rather than a percentage.

How do we remind the ones who have not paid?

Turn on automatic reminders when you send the fee and Membly follows up with whoever has not paid after the due date — at most once a week. You can also send a reminder manually, to everyone unpaid or to a single member.

Can a member be excused from the fee?

Put them on a membership type with no fee, such as Honorary member, and they fall outside the fee runs. You can also choose to send the payment request only to selected members.

Does the membership fee renew automatically each year?

If the membership type has automatic renewal switched on, Membly sends out next year’s fee for you when the time comes, but nobody is charged automatically — we store no card details. Every member pays actively, just as they did the first time.

Does the member get a receipt?

Anyone who pays in the app gets a receipt by email automatically and can see their payments under My payments. If you instead mark a payment as received manually, no receipt is sent — your own records apply there.

How do the fees get into the bookkeeping?

You export an SIE file per calendar year of the membership fees received. Both Fortnox and Visma import SIE. There is no direct integration with any accounting software, and no direct-debit or OCR handling.

Is there a minimum amount?

An in-app payment must be at least SEK 100. You can certainly have a cheaper membership type than that, but the payment request itself needs to reach one hundred.
